FOR BUILDERS & RENOVATORS TRADE · BUILDERS

Variations, progress claims and subbie records that hold up for builders and renovators.

Built for building and renovation operators with 4 to 19 staff whose variations get agreed on site and never invoiced, and whose progress claims lag the build by weeks. Fixed-price builds in ten business days, or an Ops Care plan that keeps shipping fixes every month.

WHERE THE MONEY GOES UNBILLED

Five places a build usually loses money it already earned.

Every building business I audit shows the same five bleeds, in different proportions. The first two are money you have already done the work for and not invoiced. The audit tells us which one is dominant in yours.

01VARIATIONS

Variations get agreed on site and never invoiced

"While you're here, can we move that wall?" You say yes, price it in your head, and get back to the slab. Six weeks later the extra three days of carpentry and the upgraded tapware are buried in the job, unwritten, undocumented and unbilled. Every handshake variation is margin handed back.

02CLAIMS

Progress claims lag the build by weeks

Lock-up was three weeks ago; the claim went out yesterday. The paperwork needed photos, invoices from three subbies, and a night at the desk that kept losing to the next day on site. Meanwhile the timber bill cleared your account, so you are the bank, financing your own client at zero percent.

03SUBBIES

Subbie coordination runs on a group text

The sparky is in the thread, the plumber is in a different thread, and the plasterer heard Thursday from someone at the timber yard. One slipped delivery re-stacks the whole fortnight, and it is you doing the re-stacking, by phone, at 6am, instead of checking the frame.

04CLIENTS

The "what's happening this week?" calls never stop

The client is spending more than they have ever spent on anything, so they ring. Every call is twenty minutes of reassurance you have already given, and the photos that would answer it are sitting on three different phones. Multiply by every live job and it is a day a week of narration.

05MARGIN

Fixed-price reno margin is a rumour until the final bill

The contract was priced off the plans; the job got priced by the demo. What the asbestos find, the extra stumps and the re-quoted windows actually did to margin is invisible while the job runs, and by the time the final numbers land, the next two jobs were quoted with the same optimism.

WHAT I'D BUILD

Five fixed packages, mapped to the bleed.

Same five Bolt On Ops packages every trade gets. This is the builder-specific map.

NOT A SOFTWARE MIGRATION

Keep the tools you already use. I build the missing workflow around them.

Your current software nearly works. The bits that don't are where the spreadsheet, the group text, and the Sunday admin live. I build the missing piece, integrate it cleanly, and leave the rest of your setup alone.

BUILDXACT · BUILDERTREND

Already on Buildxact or Buildertrend?

Strong on estimating and scheduling; the variation capture, client communication rhythm, and photo trail often still run on texts. I build the missing workflow on top. Your estimates and schedules stay where they are.

BOLT-ON ON TOP
TRADIFY · SPREADSHEET HYBRID

Running a job-app-plus-spreadsheet hybrid?

Common setup: jobs in one app, claims in a spreadsheet, photos on phones. If you want one system, I'll quote a custom replacement. If you want to keep what works, I'll build the connective tissue. One bill, not three.

REPLACE OR FILL THE GAPS
SPREADSHEETS · XERO

Still on spreadsheets and Xero?

Good news, the upgrade path is cleaner than starting from a partial SaaS deployment. Quote Fast Pack or Job Flow Pack drops in without ripping out Xero. Most owners get more out of bolting on than starting over.

Hear the receptionist
that answers your phone.

Talk to the AI receptionist in your browser, like a customer would. It answers, works out the job, flags the urgent ones and captures the lead — 24/7, in your business's name. If it ever can't pick up, the missed-call text-back still fires.

$165/mo inc GST, free on Ops Care Standard and Pro. If it doesn't catch you a job in your first 30 days, you don't pay that month.

WHO BUILDS THIS

Built by an operator who runs his own trade businesses.

Brad Stribley, founder of Bolt On Ops
BRAD STRIBLEY VIC, AU

I'm Brad Stribley. I run Oscar White (commercial cleaning) and Ranges Cleaning Co. (residential). I've quoted before breakfast, chased late payers, managed crews from the ute, and built tools for my own businesses first.

I don't need you to explain your business to me. I know what it costs when the paperwork lags the work, why the photo trail decides who pays for the variation, and why "flat out all week" doesn't tell you whether the business made money.

Building runs on the same operational pattern as my own ventures: staged work where cash drifts if the paperwork slips, clients who need constant reassurance, crews and contractors to coordinate, and margin that hides until the job closes. The fixes are already built; the audit works out which one is yours.

  COMMON QUESTIONS

The questions builders & renovators actually ask.

Do I have to switch off Buildxact or Buildertrend to work with you?

No. If your estimating or project tool works for you, keep it. I build the gaps around it: the progress-claim workflow, the client-facing update portal, the variation tracking, the supplier-slip capture. Your jobs stay where they are, and the bolt-on fills what falls through.

Can it handle multi-stage jobs and progress claims?

Yes. Fixed builds and big renos run across base, frame, lock-up, fit-off, and handover, and the progress claim at each stage is where cashflow lives or dies. I build the workflow that tracks the stage, triggers the claim, logs the variations before they're forgotten, and keeps the client updated so you're not fielding 'how's it going' calls. Fewer disputed claims, faster payment.

How much does it cost and how long does it take?

Builds start from $1,500 fixed for a smaller build and from $3,500 for a larger one, with the price agreed in writing before anything starts, so no hourly surprises. Timeline depends on scope and what it connects to, and I commit to a delivery date in writing at kickoff rather than quoting a number I can't hold. Most owners run on an Ops Care plan from $750 a month so the fixes keep coming instead of stopping at the first build.

What if I only need one small thing fixed?

That's the whole idea. Each package targets a single bleed, so we start with the one costing you the most (quoting, job flow, profit visibility, admin, or lead capture) and fix just that. Prove it pays, then decide whether there's a second. You're never buying a big platform you didn't ask for.

Do you actually understand how a building business runs?

I run two field-service businesses myself, so I know what an unclaimed variation costs you, why a progress claim slipping a week hurts, and why chasing subbies and supplier slips eats your evenings. I don't need you to explain your business to me; I've already run one. I build these tools for my own ventures before I sell them to anyone.
