FOR CLEANING BUSINESSES TRADE · CLEANERS

Proof of every clean, site by site, for commercial and strata cleaning businesses.

Built for cleaning operators with 4 to 19 staff running recurring sites, where the building manager's records are the only records and a disputed clean costs you the invoice. Fixed-price builds in ten business days, or an Ops Care plan that keeps shipping fixes every month. Built by someone who runs two cleaning companies himself.

WHERE THE PROOF BREAKS DOWN

Five places a cleaning contract usually loses money.

I run two cleaning companies, so this list is not from an audit checklist, it is from my own week. The first two are about proof: whether every site got done, and whether you can show it when the building manager says otherwise. The audit tells us which one is dominant in yours.

01PROOF OF SERVICE

The building manager says it was missed, and you cannot prove otherwise

The crew cleaned the site, or you believe they did. There is no time on site, no photo of the finished bathroom, no record of which floors were done. When a strata or facilities manager withholds payment over a clean they say did not happen, their records are the only records, so their records win.

02SCHEDULES

Recurring schedules live in one person's head

Weekly, fortnightly, skip-next-week, back-after-the-holidays. The recurring run lives in a shared calendar and one person's memory, and a single reshuffle cascades into an evening of texts. "Who's on tomorrow" should never be a question that needs the owner.

03SITE INSTRUCTIONS

Keys, codes and client notes ride on phones

Alarm codes, key-safe numbers, the dog's name, which products the benchtop owner insists on, which bins go out on which night. It all lives in message threads and heads, so a new cleaner walks in blind and the complaint lands on you. Site instructions belong on the job, not in a group chat.

04UNBILLED WORK

Sites get serviced and never make it onto an invoice

A site gets added mid-contract, a make-good gets done as a favour, an extra fortnightly visit gets squeezed in. If the run sheet and the invoice are two different documents maintained by two different people, the gap between them is money you did the work for and never charged.

05PROFIT

Margin hides inside hourly work

The job ran forty minutes over, travel between suburbs was unpaid, and the regular got their usual price anyway. Hourly work absorbs overruns silently, so the month looks busy and the bank account disagrees. You find out at month-end, if the bookkeeping is up to date.

WHAT I'D BUILD

Five fixed packages, mapped to the bleed.

Same five Bolt On Ops packages every trade gets. This is the cleaning-specific map.

Every fix below sits on top of the software you already run. Nothing gets ripped out.

NOT A SOFTWARE MIGRATION

Keep the tools you already use. I build the missing workflow around them.

Your current software nearly works. The bits that don't are where the spreadsheet, the text-message thread, and the Sunday admin live. I build the missing piece, integrate it cleanly, and leave the rest of your setup alone.

SERVICEM8 · JOBBER

Already on ServiceM8 or Jobber?

Good for the job card and the invoice; the recurring-schedule logic, client preference notes, and agent-facing completion reports fall through. I build the layer that sits on top. Your jobs stay where they are.

BOLT-ON ON TOP
CALENDAR · GROUP CHAT

Running on Google Calendar and a group chat?

Plenty of good cleaning businesses are. It works right up until the second crew, then every reshuffle becomes an evening of texts. The upgrade path is clean: booking front door first, then the recurring-run engine, without ripping out what works.

CLEAN UPGRADE PATH
SPREADSHEETS · XERO

Still on spreadsheets and Xero?

Good news, the upgrade path is cleaner than starting from a partial SaaS deployment. Quote Fast Pack or Job Flow Pack drops in without ripping out Xero. Most owners get more out of bolting on than starting over.

Hear the receptionist
that answers your phone.

Talk to the AI receptionist in your browser, like a customer would. It answers, works out the job, flags the urgent ones and captures the lead — 24/7, in your business's name. If it ever can't pick up, the missed-call text-back still fires.

$165/mo inc GST, free on Ops Care Standard and Pro. If it doesn't catch you a job in your first 30 days, you don't pay that month.

WHO BUILDS THIS

Brad Stribley, founder of Bolt On Ops
BRAD STRIBLEY VIC, AU

I'm Brad Stribley. I run Oscar White (commercial cleaning) and Ranges Cleaning Co. (residential). I've quoted before breakfast, chased late payers, rebuilt a fortnightly run around one cancellation, and built tools for my own businesses first.

Every other trade page on this site is me translating from a neighbouring trade. This one is not. The booking flow, the recurring-schedule engine, the client preference notes, the proof-of-clean photo trail: every one of those started life running my own crews, because I needed them on a Tuesday.

One conflict rule, stated up front: Ranges Cleaning Co. works the Macedon Ranges, so I don't take on cleaning businesses competing in that patch. Everywhere else in Victoria and beyond, the door is open, and you're getting the systems I use myself.

  COMMON QUESTIONS

The questions cleaning businesses actually ask.

Do I have to switch off ServiceM8 or Jobber to work with you?

No. If your scheduling app works for you, keep it. I build around it: the recurring roster logic, the per-site checklists, the photo sign-off, the client portal. Your jobs stay in ServiceM8 or Jobber, and the bolt-on fills the gaps and hands the data back clean.

Can it handle recurring schedules and quality checklists?

Yes, and this is the one I've lived. I run two cleaning businesses, so I've built the recurring roster, the per-site checklist, the photo sign-off, and the make-good flow for when a clean gets missed, for my own operation first. Recurring jobs generate themselves, the cleaner completes the checklist on their phone, and you get the exception (the site that didn't get done) instead of chasing status all day.

How much does it cost and how long does it take?

Builds start from $1,500 fixed for a smaller build and from $3,500 for a larger one, with the price agreed in writing before anything starts, so no hourly surprises. Timeline depends on scope and what it connects to, and I commit to a delivery date in writing at kickoff rather than quoting a number I can't hold. Most owners run on an Ops Care plan from $750 a month so the fixes keep coming instead of stopping at the first build.

What if I only need one small thing fixed?

That's the whole idea. Each package targets a single bleed, so we start with the one costing you the most (quoting, job flow, quality control, admin, or lead capture) and fix just that. Prove it pays, then decide whether there's a second. You're never buying a big platform you didn't ask for.

Do you actually understand how a cleaning business runs?

Better than most. I own and run Oscar White (commercial cleaning) and Ranges Cleaning Co. (residential), so I've built rosters, chased make-goods, and quoted recurring contracts myself. I don't need you to explain your business to me; I've already run one, in your exact trade. I build these tools for my own cleaning businesses before anyone else gets them.
