WHERE THE ROUND LEAKS

Five places a maintenance round usually loses money.

Every landscaping and grounds business I audit shows the same five bleeds, in different proportions. The first two are about the round: whether every site got done, and whether you can show it. The audit tells us which one is dominant in yours.

01ROUNDS

Mowing rounds and garden contracts live in a diary

The maintenance book is the steadiest money in the business, and it runs on memory: which fortnight each round falls in, who skipped a visit over the holidays, which contract was meant to be reviewed in spring. Miss two visits and a five-year client quietly rings someone else.

02PROOF OF VISIT

Your only proof a site was done is that nobody complained

The crew ran the round, or you assume they did. There is no photo, no time on site, no record of which gates were locked or which strip was skipped because a car was parked on it. When a body corporate asks why they are paying for a fortnightly visit they say did not happen, you have nothing to put next to their complaint.

03HANDOVER

The round only works when the bloke who knows it is driving

Which properties, in which order, which gate code, which client wants the clippings left and which does not. It is all in one person's head. Take that person out for a week and the round runs long, sites get missed, and you end up doing it yourself on a Saturday.

04WEATHER

One wet Tuesday blows up the whole week

Rain kills the turf day, so the crew shuffles to the retaining wall, except the sleepers land Thursday and the client on the maintenance round was told Wednesday. Now you are on the phone all morning re-booking the week instead of running it, and one client always gets forgotten.

05MARGIN

Materials blowouts are invisible until month-end

Soil, plants, stone, sleepers: bought across three suppliers, on account, by whoever was closest to the yard. The job that felt profitable in week one quietly ate its margin in skip bins and replacement plants, and you find out when the statements land, weeks after the invoice went out.

WHAT I'D BUILD

Five fixed packages, mapped to the bleed.

Same five Bolt On Ops packages every trade gets. This is the landscaping-specific map.

Every fix below sits on top of the software you already run. Nothing gets ripped out.

NOT A SOFTWARE MIGRATION

Keep the tools you already use. I build the missing workflow around them.

Your current software nearly works. The bits that don't are where the spreadsheet, the text-message thread, and the Sunday admin live. I build the missing piece, integrate it cleanly, and leave the rest of your setup alone.

SERVICEM8 · TRADIFY

Already on ServiceM8 or Tradify?

Fine for one-off jobs; the recurring rounds, staged construction payments, and photo trail fall through. I build the round scheduler, the progress-claim tracker, and the job photo record that sit on top. Your jobs stay where they are.

BOLT-ON ON TOP
JOBBER · AROFLO

Already on Jobber or AroFlo?

Capable platforms, but plenty of operators are rethinking per-seat creep and paying for modules they never open. If you want out, I'll quote a custom replacement. If you want to stay, I'll build the gaps. One bill, not three.

REPLACE OR FILL THE GAPS
SPREADSHEETS · XERO

Still on the diary, spreadsheets and Xero?

Good news, the upgrade path is cleaner than starting from a partial SaaS deployment. Quote Fast Pack or Job Flow Pack drops in without ripping out Xero. Most owners get more out of bolting on than starting over.

Hear the receptionist
that answers your phone.

Talk to the AI receptionist in your browser, like a customer would. It answers, works out the job, flags the urgent ones and captures the lead — 24/7, in your business's name. If it ever can't pick up, the missed-call text-back still fires.

$165/mo inc GST, free on Ops Care Standard and Pro. If it doesn't catch you a job in your first 30 days, you don't pay that month.

WHO BUILDS THIS

Built by an operator who runs his own trade businesses.

Brad Stribley, founder of Bolt On Ops
BRAD STRIBLEY VIC, AU

I'm Brad Stribley. I run Oscar White (commercial cleaning) and Ranges Cleaning Co. (residential). I've quoted before breakfast, chased late payers, managed crews from the ute, and built tools for my own businesses first.

I don't need you to explain your business to me. I run recurring rounds myself. I know what happens when the schedule lives in one person's head, why the photo trail matters when a client disputes the bill, and why "flat out all week" doesn't tell you whether the business made money.

Landscaping runs on the same operational pattern as my own ventures: recurring maintenance rounds, weather-driven reshuffles, staged jobs where cash drifts, and margin that hides until month-end. The fixes are already built; the audit works out which one is yours.

  COMMON QUESTIONS

The questions landscaping businesses actually ask.

Do I have to switch off ServiceM8, Tradify, or Jobber to work with you?

No. If your job app works for you, keep it. I build around it: the structured quoting, the deposit capture, the recurring maintenance schedule, the client portal. Your jobs stay in ServiceM8, Tradify, or Jobber, and the bolt-on hands the data back clean.

Can it handle seasonal quoting and deposits?

Yes. Landscaping swings hard with the season, and a big design-and-construct job needs a deposit locked before you order materials or book the crew. I build structured quoting for the larger jobs (site detail, materials, staged pricing) and a deposit-capture step so the money's in before the work starts. Maintenance rounds get their own recurring schedule so the mowing and garden care runs itself.

How much does it cost and how long does it take?

Builds start from $1,500 fixed for a smaller build and from $3,500 for a larger one, with the price agreed in writing before anything starts, so no hourly surprises. Timeline depends on scope and what it connects to, and I commit to a delivery date in writing at kickoff rather than quoting a number I can't hold. Most owners run on an Ops Care plan from $750 a month so the fixes keep coming instead of stopping at the first build.

What if I only need one small thing fixed?

That's the whole idea. Each package targets a single bleed, so we start with the one costing you the most (quoting, job flow, profit visibility, admin, or lead capture) and fix just that. Prove it pays, then decide whether there's a second. You're never buying a big platform you didn't ask for.

Do you actually understand how a landscaping business runs?

I run two field-service businesses myself, so I know what a quote with no deposit costs you when the client goes quiet, why the seasonal swing wrecks your cashflow, and why the maintenance run gets messy the moment it scales. I don't need you to explain your business to me; I've already run one. I build these tools for my own ventures before I sell them to anyone.
