FOR HVAC & REFRIGERATION CONTRACTORS TRADE · HVAC

Maintenance contracts, asset history and refrigerant records for HVAC and refrigeration businesses.

Built for HVAC and refrigeration operators with 4 to 19 staff whose maintenance book runs off a spreadsheet only one person understands, and whose ARCtick trail lives across job sheets and phone photos. Fixed-price builds in ten business days, or an Ops Care plan that keeps shipping fixes every month.

WHERE THE RECORDS BREAK DOWN

Five places an HVAC book of contracts usually leaks.

Every HVAC business I audit shows the same five bleeds, in different proportions. The first two are about proof: what you serviced, and what you can show a year later. The audit tells us which one is dominant in yours.

01MAINTENANCE

Preventative maintenance contracts live in a spreadsheet

The contracts are your best revenue: predictable, recurring, winter-proof. But the schedule lives in a spreadsheet only one person understands, filter changes get missed, and the customer finds out their quarterly service lapsed when the unit dies. Missed services are cancelled contracts in slow motion.

02COMPLIANCE

ARCtick paperwork is a second job

Refrigerant handling logs, recovery records, licence renewals for every tech. It all has to be right when the auditor asks, and right now it lives across job sheets, phone photos and a folder in the office. Reconstructing a refrigerant trail a year later is an afternoon nobody bills for.

03ASSET HISTORY

Nobody can say what was done to that unit last time

The tech who serviced it in March has left, and the job notes are a photo on a phone that went with him. So the callout starts from scratch: what model, what gas, what failed last time, what was quoted and declined. The customer remembers you were there. Your records cannot prove what you did.

04CALLS

The heatwave hits and the phone melts before you do

Three 38-degree days in a row and every dead split system in the postcode rings at once. The calls you miss while you are on a roof book with whoever answered. When the surge passes, the phone goes quiet and the pipeline is whatever you managed to scribble down between jobs.

05MARGIN

Breakdowns and installs earn differently, and you cannot see it

Install jobs carry the equipment margin; breakdown calls carry the labour. Which one actually made money last quarter, after callbacks, warranty visits and the parts that sat on the shelf? Most operators cannot answer without a weekend in the spreadsheet, so pricing stays a guess.

WHAT I'D BUILD

Five fixed packages, mapped to the bleed.

Same five Bolt On Ops packages every trade gets. This is the HVAC-specific map.

Every fix below sits on top of the software you already run. Nothing gets ripped out.

NOT A SOFTWARE MIGRATION

Keep the tools you already use. I build the missing workflow around them.

Your current software nearly works. The bits that don't are where the spreadsheet, the text-message thread, and the Sunday admin live. I build the missing piece, integrate it cleanly, and leave the rest of your setup alone.

SERVICEM8 · TRADIFY

Already on ServiceM8 or Tradify?

Fine for the service run; the maintenance-contract engine and refrigerant record-keeping fall through. I build the recurring-service scheduler, the compliance log, and the asset history that sit on top. Your jobs stay where they are.

BOLT-ON ON TOP
SIMPRO · AROFLO

Already on Simpro or AroFlo?

Powerful platforms, but plenty of operators are rethinking multi-year terms and per-seat creep. If you want out, I'll quote a custom replacement. If you want to stay, I'll build the gaps. One bill, not three.

REPLACE OR FILL THE GAPS
SPREADSHEETS · XERO

Still on spreadsheets and Xero?

Good news, the upgrade path is cleaner than starting from a partial SaaS deployment. Quote Fast Pack or Job Flow Pack drops in without ripping out Xero. Most owners get more out of bolting on than starting over.

Talk to the AI receptionist in your browser, like a customer would. It answers, works out the job, flags the urgent ones and captures the lead — 24/7, in your business's name. If it ever can't pick up, the missed-call text-back still fires.

WHO BUILDS THIS

Built by an operator who runs his own trade businesses.

Brad Stribley, founder of Bolt On Ops
BRAD STRIBLEY VIC, AU

I'm Brad Stribley. I run Oscar White (commercial cleaning) and Ranges Cleaning Co. (residential). I've quoted before breakfast, chased late payers, managed crews from the ute, and built tools for my own businesses first.

I don't need you to explain your business to me. I know what recurring contract work looks like when the schedule lives in one person's head, why the compliance record has to be findable a year later, and why "flat out all week" doesn't tell you whether the business made money.

HVAC runs on the same operational pattern as my own ventures: recurring maintenance rounds, compliance paperwork with an auditor at the end of it, demand surges that book whoever answers first, and margin that hides until month-end. The fixes are already built; the audit works out which one is yours.

  COMMON QUESTIONS

The questions hvac & refrigeration contractors actually ask.

Do I have to switch off ServiceM8 or Tradify to work with you?

No. If your job app works for you, keep it. I build around it: the service-agreement scheduling, the asset registers, the compliance logging, the client portal. Your jobs stay in ServiceM8 or Tradify, and the bolt-on hands the data back clean.

Can it manage my recurring maintenance contracts?

Yes, and that's usually the biggest bleed for HVAC and refrigeration. Service agreements, filter and gas schedules, per-site asset registers, warranty dates, and compliance logs get a proper system instead of a spreadsheet and someone's memory. It flags what's due, generates the recurring jobs, and keeps the site history so a tech who's never been there walks in knowing the plant.

How much does it cost and how long does it take?

Builds start from $1,500 fixed for a smaller build and from $3,500 for a larger one, with the price agreed in writing before anything starts, so no hourly surprises. Timeline depends on scope and what it connects to, and I commit to a delivery date in writing at kickoff rather than quoting a number I can't hold. Most owners run on an Ops Care plan from $750 a month so the fixes keep coming instead of stopping at the first build.

What if I only need one small thing fixed?

That's the whole idea. Each package targets a single bleed, so we start with the one costing you the most (quoting, job flow, profit visibility, admin, or lead capture) and fix just that. Prove it pays, then decide whether there's a second. You're never buying a big platform you didn't ask for.

Do you actually understand how an HVAC business runs?

I run two field-service businesses myself, so I know why a lapsed service agreement is lost revenue, why gas and compliance records can't live in someone's head, and why the quote still gets re-keyed into Xero at month-end. I don't need you to explain your business to me; I've already run one. I build these tools for my own ventures before I sell them to anyone.
